Six Simple Steps to employing an Apprentice or Trainee

Step 1: Making the decision
Employing a trainee or apprentice is one of the best ways to build the skill levels in your organisation. With the Australian Apprenticeship system employers can now take on new entrants and train them in enterprise specific skills, while the trainee receives government funded training in general and technical skills of direct relevance to the industry. If you are not in the position to directly employ a trainee or apprentice you can contact Ai Group Training Services for information on getting a Group Training Company to employ someone on your behalf.

Step 2: The paperwork
Once you have recruited an apprentice or trainee, you will need to complete some paperwork. This includes a Training Agreement and other forms to claim any government incentives (which include cash payments and, in some states, exemption from payroll tax and workers' compensation). This must be done through an Australian Apprenticeship Centre (AAC). To find a AAC in your area, visit the Australian Apprenticeship website. In NSW it is still necessary to indenture apprentices and trainees. The Training Agreement must be returned to an Australian Apprenticeship Centre (AAC) within 14 days. Give a copy to your apprentice/trainee.

Step 3: Conditions of employment
Advise your apprentice/trainee of the conditions of their employment ie: whether they will be working full or part time, under an award or an employment agreement, what their wage is, and details of any leave or other benefits to which they are entitled. Step 4: Organise the training
Select a Registered Training Organisation (RTO). You may wish to use the Ai Group Training Services (AiGTS). To find other registered training organisations in your area, contact your  Australian Apprenticeship Centre. Negotiate and develop a Training Plan with your RTO. Your apprentice/trainee must be enrolled with an RTO within three months of starting work.

Step 5: Set up the on-the-job training
Prepare on-the-job training as agreed with your RTO and arrange for appropriate supervision of your apprentice/trainee. If your apprentice/ trainee is to receive off-the-job training, allocate time for them to attend classes.

Step 6: Claim your incentive payment
By employing a trainee or apprentice, you will become eligible for financial support. Once your apprentice or trainee is enrolled with a RTO and has commenced training, you can claim your incentive payments through your Australian Apprenticeship Centre. Your claim cannot be made until three months after the commencement date.
